Address Book
WhitePages.com Address Book is a powerful online address book that offers easy access to your contacts at anytime from anywhere.
There are three main pages to the Address Book:
-
- Address Book Home Page
-
The Address Book Home Page is the home page for Address Book
that lists all of your contacts and gives access to extra functionality such as
adding, editing,
deleting, emailing,
printing, and importing/exporting your contacts.
You can even make mailing labels from your list of contacts.
-
- Contact Info Page
-
The Contact Info Page enables you to edit or add information
for a contact and select their primary email address and primary phone number.
-
- Import/Export Page
-
The Import/Export Page enables you to import and export contacts
from popular address book applications such as Outlook, Outlook Express, Yahoo!, Netscape Address Book, and Palm.
Address Book Home Page
The Address Book Home Page presents 20 contacts at a time and displays their verification status, name, company, primary email address, and primary phone number.
For easy reference, you may select the primary email address and primary phone number
in the Contact Info Page as the main modes of contacting the contact. If the contact has more than
one email address or phone number, a link labeled as "more…" will take you to the Contact Info Page where all of the email addresses and
phone numbers for that contact exist. Clicking on a contact's name or company will also open the Contact Info Page to access extra details.
The contact that has the image instead of a checkbox is the contact
that represents the user account profile. Click this contact to edit your account profile.
You cannot delete this contact.
Features include:
-
- Finding Contacts
- Find and view your contacts quickly and easily using tools such as the Address Book Search
and column sorting.
-

to see how many of their contacts have up-to-date details.
-

- The Address Book Home Page makes it easy to Add,
Edit, and Delete contacts.
-
- Emailing Contact(s)
- Learn how to save time by emailing one or more of your contacts at a time.

for an easy-access hard copy.
-
- Importing and Exporting Your Contacts
- Learn how easy it is to build your contact list using other address book applications so that you can view all of your contacts in one
place from anywhere at anytime. Importing and exporting ensures that you will have the
contact information you need by being able to back it up.
Sorting Columns
Every column in the contact list allows sorting. Clicking the column header will sort the displayed contacts and
insert a triangle that points up or down inside the header cell. All of the columns except for the checkbox column
are sorted alphabetically. Clicking the header row a second time will sort the list the other direction (Z-A instead A-Z)
and will make the triangle point the opposite direction.
-
- Name Column (sorting by First Name and Last Name)
-
You have the option of displaying your contacts list with the contact last name or first name coming first in all
of the contacts' name fields. To toggle between the two choices, click on the word "First" or "Last" in the Name
column header. Changing the order of the name will also reset the "Select Letter" drop-down back to "- All -"
since the first letter showing will usually be different.
Address Book Status
The Address Book Status works in conjunction with ContactsManager to tell you how many of your contacts have
updated contact information, how many are pending update verification, and how many may contain outdated contact
information. The Last Sync Date (located in the bottom right of the Address Book Home Page section) allows you to
view the last time you synchronized your Outlook with your WhitePages.com Address Book.
-
- "Get Contacts Verified & Up-to-Date" Link
-
To download ContactsManager or learn more about its benefits and features, click on the "Get Contacts Verified & Up-to-Date" link below the Address Book Status.
If you would like support or help with ContactsManager, please click here: ContactsManager
Contact Info Page
The Contact Info Page enables you to view a contact's main details at a glance. More detailed information is available in the bottom half
by clicking on the "Business Info", "Personal Info", and "Other Info" tabs.
-
- Add/Edit a Contact's Information
- To add or edit a contact's information, type the information in the appropriate fields and click the "Save and Close" button.
-
- Delete a contact
- To delete a contact, click the "Delete" button.
You may also learn more about:
ContactsManager users:
Deleting a contact within WhitePages.com Address Book will also delete the contact in Outlook when you synchronize
the two using ContactsManager. The "VOIP Address" field and "Notes" field are not synchronized with ContactsManager.
Primary Email and Phone
Setting a contact's primary email address and phone number allows you to view the most useful information when viewing all of your
contacts in the Address Book Home Page. To select an email address or phone number as the primary, go to the Contact Info Page and
click the circle to the right of the appropriate field. You may not select an empty field to be a primary. If you only have one email
address or phone number for a contact, then that email address or phone number will automatically be set as the primary.
Make Labels
WhitePages.com Address Book enables you to make labels from your contacts list. The Address Book supports almost all types of mailing
label templates ranging from small return address labels to large shipping labels. Simply check the checkboxes next to the contacts in your
Address Book that you want to display in your labels. Labels can contain either your selected contacts' personal address, business address,
or just their name.
To ensure that your labels come out correctly, we recommend that you click on each contact that you want in your labels and enter their
address if they don't have one already. Depending on your label sizes, you may need to make your addresses use address abbreviations
(i.e. St., Ave., Ct.) and put the second line of the street address on the first line.
For example, change the following:
123 Main Street
Apartment #101
to a shorter version on one line:
123 Main St., Apt 101
Configure Labels
There are two aspects that go into making labels: Label Type and Label Addresses.
-
- Label Type
- Label Type indicates what size of labels will be used and how many labels will fit on one sheet.
Since Avery is the most popular brand of labels, almost all label manufacturers include the four-digit Avery ID
with their labels. If you cannot find the Avery ID on your label package, then you may select the label size
from the "Popular Label Sizes" dropdown.
-
- Label Addresses
- Each of your contacts has fields for Business Addresses, Personal Addresses, and Names. Selecting "Personal Addresses"
will create labels with the selected contacts' name and personal address. Selecting "Business Addresses" will create labels
with the selected contacts' name, company (if you have entered a company), and business address. Selecting "Names Only"
will create labels with only the selected contacts' name.
Print Labels
Your labels have been created. Now, you just need to open the file and print the labels.
-
- Open Your Mailing Labels:
-
Labels are available as an RTF file or a PDF file. RTF files may be opened using MS Word, WordPad, and many other RTF editors
and word processing programs. One of the benefits of using the RTF file is that you can edit the content, color, and font of your
labels. Due to the differences between how these programs view RTF files, the results are not always the same. See the Troubleshooting
section below if you have any problems with opening or printing RTF labels.
If you have problems with RTF labels, you may select "Acrobat (PDF)" to download the labels in the popular PDF format. PDF files are
viewable using the free Adobe Reader. If you don't already have Acrobat Reader installed, click the "Get Adobe Reader" image below
for the latest version. If you have a PDF editor (such as Acrobat Writer, which is not free), then you may edit the content, color,
and font of your labels.
- Print Your Mailing Labels:
- We strongly recommend doing a test run on plain paper before printing on your special mailing labels. If the test run matches
the placement of the labels on your mailing labels, then load the mailing labels and print again. Otherwise, see the Troubleshooting section below.
- Troubleshooting:
| Issue | Solution |
| Have trouble opening or downloading label files from the website. |
The most likely problem is that you are using Internet Explorer and the system is not putting the proper file extension on the end of the filename. This means that it should have the ".pdf" or ".rtf" on the end of the filename to let the computer know which program to use to open the file. If this happens, do the following:
- Click "Open Mailing Labels".
- Click "Save" when the browser asks "Do you want to save this file?"
- Select a memorable place to save the file such as the desktop
- At the end of the file name, type the proper extension:
- For MS Word, it will look like this: "label_download.rtf".
- For Acrobat, it will look like this: "label_download.pdf".
- Click "Save".
Note - Since this issue is only known to happen in Internet Explorer 6, you may consider using FireFox or upgrading Internet Explorer to IE7.
|
When printing from Microsoft Word I get the error message:
"The margins of section 1 are set outside the printable area of the page. Do you want to continue?" |
Click the Yes button.
For printers that can print within a 1/4 inch or so of the edge of the paper, and most can, the labels will print without problems. However, always be sure to do a test run first on plain paper. |
| The labels do not look right in WordPad. |
In WordPad, click "File" in the menu bar and then click "Page Setup…". Then, in the Page Setup window, do the following: Select "Letter" in the Size dropdown. Select "Portrait" in the Orientation box. Enter "0" for all of the Margins fields (i.e. Left, Right, Top, and Bottom). These will automatically change to minimum settings, which should work to print the labels on your printer. However, always be sure to do a test run first on plain paper. |
| The labels print incorrectly using the "MS Word (RTF)" selection. |
If you have tried the above fixes (or they are not applicable) and you are still having problems with the RTF file, then select "Acrobat (PRD)" and try again. (If you don't already have Adobe Reader installed, click the "Get Adobe Reader" image above.) |
| Some the text in my label(s) is cut off or not visible. |
The labels have fixed heights. This means that if you have too much text in a label, then only the top will be visible. To fix this, go to the contact in WhitePages.com Address Book and edit the address fields so that more information will be on one line.
For example, change the following:
123 Main Street
Apartment #101
to a shorter version on one line:
123 Main St., Apt 101
|
Request Labels
WhitePages.com Address Book uses the most popular Mailing Label sizes, but we want to help you if you are printing on labels that are
less common. For this reason, we give you the option to be notified when we create a template for the label size you need. If you choose
to be notified, your email address be used to notify you when the label size is available, and will not be sold to or used by any
third party without your approval.
If you know that your email is not valid, you may change it your Account Profile and perform
the Make Labels process again to let us know which Avery ID you'd like us to create.

Outlook Plug-in
ContactsManager adds toolbars to Outlook and the Contact Info Page when viewing individual contact records.
Use the toolbar to search WhitePages.com, or to access Help and Settings.
Most ContactsManager features are available through buttons and links on the Contact Info pages in the Outlook contact folder.
You may turn the ContactsManager toolbar on and off through the Outlook menus Tools > Customize > Toolbars.
Verifying Your Contacts
ContactsManager keeps your contact list up to date by sending a personalized email to each of your contacts asking them to verify and update
their information. ContactsManager works with the default Outlook Contacts folder.
You have control over the update requests including:
- Which contacts to update
- The type of information in the update request (home, business, both)
- Selection of personalized greeting
- Wording of the message
- Your contact details
- vCard attachment (optional)
Verify Request
You may launch ContactsManager update requests from three places:
- ContactsManager toolbar
- From any Outlook window, click Verify Contacts on the ContactsManager toolbar. From the drop-down list, select the type of information
you wish to verify. You can select the contacts to verify in the Keep-in-Touch Editor.

- Individual contact info record
- When viewing a contact info record in Outlook, you may use either the ContactsManager Toolbar or click the Verify Contacts button to start
the Keep-in-Touch Message Editor. The editor allows you to create an email asking the individual to check and update their contact details.
See the following topics for assistance in using the Keep-in-Touch Editor.

- Contacts folder
- Select the Contacts folder in Outlook and highlight one or more names that you wish to update. Then click the Verify Contacts button
on the ContactsManager Outlook toolbar. This starts the Keep-In-Touch Message Editor with the selected names in the To field.
See the following topics for assistance in using the Keep-in-Touch Editor.

Editing the Request
Use the Keep-In-Touch editor to customize the verification emails you are sending to your contacts. The editor opens when you click the
Verify Contacts button on the ContactsManager toolbar or when viewing a Contact Info record in the Outlook Contacts folder.
-
- Selecting recipients
- After selecting one or more names from the Contact list, click Verify Contacts and select the type of information you wish to update -
business, home or both. This launches the Update Request Editor. The "To" field displays the name or names you selected. You may add more
names by clicking the To button and selecting additional recipients from the Outlook Contacts folder.
NOTE: Each recipient receives an individually personalized email with only the recipient's name in the To field.
-
- Selecting email format
- You have a choice of sending the verification request email in either HTML format or plain text. Most email software accepts HTML,
but many large companies block HTML email to improve network security. If you have any doubt about your contact's ability to read HTML
email, send plain text.
-
- Changing the font size and style
- When sending HTML verification requests, you may change the default font used in the message. Highlight all or part of the email text
and select the font you wish to use from the drop down list at the top of the edit window. You may also change the style using the options
for font size, bold, italics and underline.
-
- Changing the information type
- You may change the type of information in this update request using the drop down list in the upper right corner of the editor.
Changing the information type changes the contact information fields.
-
- Changing the default message
- You may edit or rewrite the default message in the left pane of the editor. You may also use simple HTML formatting
(bold, italic, underline, and font size/color). If your message grows too long, the editor automatically resizes to display the content.
-
- Changing Sender's information
- ContactsManager automatically inserts your contact information (similar to an Outlook signature) at the bottom of the email text area.
You may edit any of this information, but these changes do not modify the WhitePages.com registration details or your linked Outlook contact record.
The contents of the default signature depends on the type of request (Business, Home, or Both). as shown below.

- Attaching a vCard
- The first time you use the Keep-In-Touch Message Editor it attaches a ContactsManager vCard that matches the type of information request.
For example, it attaches your business information if you are making a business request.
If you make changes to the vCard, ContactsManager remembers these changes the next time you send the same type of request.
To omit the vCard attachment from your request, click on the Attach My vCard field and press <DEL>.
You may also attach any other vCard by clicking the "Attach my vCard" button and selecting a different vCard.
Select the vCard from the pop-up window. Use this feature if you are sending on behalf of someone else, or you to wish to
send alternate information to different recipients.
-
- Sending the Update Request
- When you are ready to send your verification request, click the Send button.
Using the Mailer
The ContactsManager Mailer displays the progress of update requests as they are being mailed. This is especially useful when sending a large number
of requests at one time.
You may use the monitor to pause/resume or cancel an update request to a large number of users before the emails are sent.
The Mailer icon appears in the system tray when you send an update request. Double-clicking the tray icon opens Mailer window.

When sending an verification request, right click on an item in the mailer displays a menu with options to Pause/Resume and Stop the selected mailing.
The menu options vary according to the current status of the mailing.
The same options are available using the Mailer toolbar buttons.
While ContactsManager is sending, the Mailer displays the current status details in the lower panel. Use the scroll bars to see earlier messages.
When the mailing is 100% complete, ContactsManager removes it from the Mailer Monitor.
Handling Replies
Sending a verify request can result in a number of possible responses including:
- Bounces (bad email addresses)
- Read Receipts (recipient opened the email)
- Verifications (recipient responded with no changes)
- Edits (recipient responded with changes to the contact information)
- Opt-outs (don't send any more update requests)
- Personal Replies (recipient clicks reply button in email)
ContactsManager automatically processes all replies except personal replies where the recipient clicks the Reply button. It also ignores "soft"
bounces (like "Mailbox is full" messages) that generally indicate a temporary problem with email delivery.
After processing a reply, ContactsManager updates the contact's record in your contact folder with the current status and any changes to the
contact's details included in the reply.
If you find contact updates that you do not wish to keep, you may use the Update History to restore any changed or deleted information in the contact's record.
Using View History
When viewing an individual contact in Outlook, moving your mouse over the View History hyperlink displays the most recent changes to the contact.
Clicking this hyperlink launches a History Dialog where you can review all updates applied to the local contact record, and, if desired, roll back
any updates to an earlier version.
In the History Dialog, icons in first column show the source of update as either:
- ContactsManager Update Request, or,
- WhitePages.com Sync.
The second column displays the date of the update.
To reverse a change made by ContactsManager (either through synchronization with your WhitePages.com Address Book or through a Verify Contacts mailing),
select the item and click the "Undo" button. You may select individual fields from different updates by clicking an item in the "Field" column,
or all of the items changed on a particular date by clicking on the "Applied" date column.
Select multiple items from different dates using <SHIFT> left-mouse click or <CTRL> left-mouse click.
Syncing Your Address Books
ContactsManager can synchronize your Outlook Contacts folder with your WhitePages.com Address Book.

Clicking the sync button checks for differences between the two address books and harmonizes any adds, deletes, and changes. Once started, the
synchronization is automatic and requires no user intervention. The History stores old or conflicting values. You may use the
History to reverse any changes to individual contact details.
Note: If you wish to sync after making changes to an individual Outlook contact record, click Save and Close in Outlook
to write the changes to the Contacts folder before clicking the Sync Contacts button. This ensures you are using the latest data during the sync.
Search WhitePages.com
In addition to sending update request emails, you may also update your existing Outlook contact records by searching the WhitePages.com site from the
ContactsManager toolbar. You may start the search from the Outlook Inbox, the Contacts folder, or a Contact Info page.
- To launch the search click the "Search WhitePages.com" button on the ContactsManager toolbar.
- Click the Search WhitePages.com button and select the search criteria from the drop down list.

-
- Searching from Outlook Inbox
- The WhitePages.com search page opens with a blank form. Follow the on-screen instructions to complete the search.
-
- Searching from Outlook Contacts folder
- When viewing the Outlook Contacts folder you can select none, one, or multiple contacts for your search. The search options depend on how many
names you select as follows:
| No contacts selected | Search WhitePages.com drop-down is identical to the Outlook Inbox search options. |
| One contact selected | Search WhitePages.com drop-down opens with the name of the contact filled in for you. |
| Multiple contacts selected | Search WhitePages.com drop-down displays maximum of 5 names or related information. Select one of the entries to open the search page. |
-
- Searching from Contact Info Record
- When viewing an individual contact record from your Outlook Contacts folder, selecting "Search WhitePages.com" opens a search
drop-down with the available information already filled in. Click on the information to open the search page.
ContactsManager Settings
Use Settings to change ContactsManager configuration options including:
- Handling of bounces and out-out messages
- Specifying how you connect to the Internet
- Defining which Outlook profile to use with ContactsManager
- Changing the default status settings
- Contacting support

Your Login
If your WhitePages.com user name or password changes, you must enter the new details in the ContactsManager Settings page.
- From the ContactsManager toolbar in Outlook, select:
ContactsManager > Settings > General
- Enter your username and password in the spaces provided.
Reply Email Address
All responses to your Keep-In-Touch emails return to the Reply-to address in the ContactsManager Settings.
- On the ContactsManager toolbar in Outlook select:
ContactsManager > Settings > General
- Enter your reply-to email address in the space provided.
NOTE: This email address must be monitored by Outlook on the PC running ContactsManager.
Background Tasks
Background tasks include processing of bounced emails and handling of opt-out requests from contacts who received an Update Request from you.
To change the options for the background tasks, from the ContactsManager toolbar in Outlook select:
ContactsManager > Settings > General
-
- Bounce Handling
-
| Automatically delete bounces | When checked, ContactsManager automatically deletes bounced items from your inbox. This applies to all bounced messages, not just verification requests. Uncheck this box to leave bounced emails in your inbox for you to process manually. |
| Automatically process bounces | This option gives you two choices for automatic processing of bounces. Change the contact's status to bounced or insert ! in front of the email address, making it invalid. |
-
- Opt-Out Handling
- An opt-out indicates that a contact does not wish to receive any more update requests from you. ContactsManager gives you a choice of three methods for handling opt-outs.
| Marking the contact | All opt-out requests mark the related contact with a status of opted-out. This blocks future verification requests but does not prevent you from sending normal email to this contact. |
| Deleting the contact | With this option selected, an opt-out request causes ContactsManager to delete the entire contact record from your contact list. This is permanent. |
| Inserting "*" | Inserts "*" at the front of the email address, making it invalid. This prevents you from sending email to this contact, but leaves the record in your Contacts folder. |
Advanced Connections
By default, ContactsManager assumes you have a high-speed (LAN) connection to the Internet. If you are using a dial-up connection, change the setting accordingly.
From the ContactsManager toolbar in Outlook, select:
ContactsManager > Settings > Advanced
-
- Proxy Server
- If you connect using a proxy, enter the required settings into ContactsManager.
Default Outlook Profile
If you use Profiles to connect to Outlook, you can use define the profile you wish to use with ContactsManager.
- From the ContactsManager toolbar in Outlook, select:
ContactsManager > Settings > Advanced
- Use the Select button to view a list of available profiles. Select your profile from the list.
Your Email Server
By default, ContactsManager uses the same server configured in your email software. Do the following steps if ContactsManager is unable
to detect an email server, or you wish to change you email settings to use an alternate server:
- From the ContactsManager toolbar in Outlook, select:
ContactsManager > Settings > Mail Servers
- Change the settings to match your Email software or to configure a different email server. See the details below.

| Outlook Outbox | The ContactsManager Mailer transfers all Update Request emails to the Outlook Outbox. Outlook then sends the emails the next time you click Send/Receive. |
| SMTP Mail Server | Use Autodetect if you have an email server already programmed in your email software, or specify a specific
SMTP server if you have a different server you wish to use for all ContactsManager emails.
If you are unsure of the settings, use Outlook Outbox. |
Status Preferences
ContactsManager automatically changes the status of each contact after a predefined period following the last update request.
In Outlook, the color of the contact's status icon indicates the current status.
The default settings are:
- From Verified to Needs Verification: 6 Months
- From Pending Verification to Needs Verification: 1 Week
To change these settings, use the ContactsManager toolbar in Outlook and select:
ContactsManager > Settings > Status
Use the item's drop-down list to change the time period for each status change.
Maintenance Tools
ContactsManager includes three tools for maintaining its internal database. The tools do not make any changes to your contact list. Use these tools
only if directed by a WhitePages.com support representative, or you encounter the issues described below.
| Compact Database | Use Compact if ContactsManager is slow to respond when creating an update request.
Compact reduces the size of the internal ContactsManager database by permanently removing previously deleted contacts and their mailing details.
Compact does not affect your Outlook Contact list. |
| Rollback Database | Rollback allows you to reload a backup copy of the internal ContactsManager database in case the current version
is damaged. Although rare, this can happen during a power interruption or the PC encounters a hardware or software failure. |
| Rescan Inbox | Rescan if replies to your Update Request emails are staying in your inbox. Rescanning the inbox forces ContactsManager
to check every email in your inbox looking for replies that ContactsManager may have missed when the emails first arrived. |
To access these tools:
- From the ContactsManager toolbar in Outlook, select:
ContactsManager > Settings > Maintenance
- Click the button for the appropriate tool to start the maintenance tool. Follow any on-screen instructions.
Troubleshoot ContactsManager
Below is a list of commonly identified issues related to ContactsManager and Microsoft Outlook:

Could be caused by one or more of the following:
- If you are using Outlook 2002 (XP) or Outlook 2003, then Outlook may have disabled ContactsManager.
To re-enable ContactsManager, do the following:
- Click "Help" in the Outlook toolbar.
- Select "About Microsoft Office Outlook".
- Click the "Disabled Items…" button.
- Select "ContactsManager" and click the "Enable" button.
- The ContactsManager toolbar was removed. To replace the toolbar, do the following:
- Right click on the gray area next to the Outlook toolbar.
- Make sure that ContactsManager is present and checked.
- Outlook does not recognize ContactsManager as being installed properly. To check, do the following:
- Click "Tools" in the Outlook toolbar.
- Select "Options".
- Select the tab labeled "Other".
- Click the "Advanced Options" button.
- Click the "COM Add-Ins…" button.
- Make sure that ContactsManager add-in for Outlook is present and checked.

| ContactsManager is not updating |
Could be caused by one or more of the following:
- ContactsManager needs to rescan the Inbox. ContactsManager updates your contacts based on information contained in the response message that
the Keep-in-Touch messages generate. This message needs to come into your main Outlook Inbox for ContactsManager to recognize it.
To rescan the Inbox, do the following:
- Click the "ContactsManager" dropdown toolbar in Outlook's toolbar.
- Select "Settings…".
- Click the "Maintenance" tab.
- Click the "Rescan Inbox" button.
- Not enought time has gone by. You may need to wait for at least half an hour since updates are grouped together so as to not overwhelm the
Inbox or be marked as spam by servers.
- Message Rules are not allowing the update messages to stay in the Inbox so that ContactsManager can read them and delete them. All mail from
server@whitepages.com must land in the Inbox and not be routed away from the Inbox.
- The Keep-in-Touch message is sent to the first email address within an Outlook contact. That email account may be diverting the message
to a Junk Email folder, especially if it is a Hotmail.com email account.
- The reply-to email address for Keep-in-Touch messages may not be set to an account configured in Outlook, thereby making the
information for contact updates go to a place that Outlook cannot access. To check this, do the following:
- Select "Settings…" from the ContactsManager dropdown in the Outlook toolbar.
- Make sure that the email address in the "Reply-to Address" text field is one of the email accounts that you can send and receive with
Outlook. Note, Hotmail accounts will not work for this since messages to this email address must go to the Outlook Inbox, which Hotmail messages do not do.
